How does domain-based access work in practice?+
When a researcher visits SmartCiter or opens the Word add-in, they enter their institutional email. SmartCiter verifies the domain against your licence record and grants immediate access - no account creation required. When a researcher leaves and their email is deactivated, access ends automatically.
Does SmartCiter store our researchers' manuscripts?+
No. Manuscript content is never transmitted to SmartCiter servers. When the ScholarScan processes a document, the text is sent directly from the researcher's browser to the AI provider. SmartCiter only stores the researcher's email address for authentication purposes. A full data processing agreement is available.
What does Microsoft 365 deployment involve for IT?+
Your IT administrator uploads the SmartCiter manifest file to Microsoft 365 Admin Center under Integrated Apps. The add-in is then automatically available in Word for all users in the tenancy. We provide the manifest file and step-by-step instructions. Typical setup time is under 2 hours. No server configuration required.
Can we run a pilot before committing to a licence?+

Which citation standards and journal styles are supported?+
SmartCiter supports APA 7th, MLA 9th, Chicago 17th (author-date and notes-bibliography), Vancouver, IEEE, Harvard, and Nature house style. Additional journal-specific styles are on the roadmap. The audit checks format compliance at the field level - not just overall structure.
How current is the retraction database?+
SmartCiter cross-references against Retraction Watch data and PubMed correction feeds, updated continuously. When a retraction notice is issued, the affected DOI is flagged within 24–48 hours. Proactive researcher notification for previously cited sources is on the institutional roadmap.
Is there a limit on manuscripts or citations analysed?+
No. The institution licence is unlimited in terms of manuscripts, citation audits, and Word add-in usage. There are no per-analysis charges, no usage caps, and no overage fees. The licence covers all researchers on your domain for a flat annual fee.
What AI models power the citation analysis?+
The default model is Llama 3.3 70B via Groq, available at no additional cost. Researchers can configure their own API keys to use OpenAI GPT-4o, Anthropic Claude, Google Gemini, or xAI Grok. The institution licence includes access to all provider options.
